PRIVACY NOTICE
PURPOSE
This privacy notice outlines how the Pickleball Association of Bermuda (PAB) collects, uses, discloses, and protects personal data. We are committed to safeguarding the privacy of our members and ensuring compliance with applicable data protection laws, which includes the Personal Information and Protection Act 2016 as amended from time to time (PIPA).
SCOPE
This privacy notice applies to all personal data processed by the PAB in relation to our members, the Board, its staff and any other participants.
INFORMATION WE COLLECT
This includes (but is not limited to) names, mailing address, email address, phone number, identification documentation (such as passport and driver’s license) and payment information.
HOW WE USE YOUR INFORMATION
We process your personal information based on your consent and our legitimate interests in providing pickleball related services. We may use your personal data for the following purposes:

To communicate important updates and information regarding PAB events.

COMPLAINTS PROCEDURE
If you have concerns regarding our handling of your personal information or believe we have violated your privacy rights, you can lodge a complaint using the following process:
Contact Us. Submit your complaint in writing to the PAB Data Privacy Officer at kim@pabermuda.com. Please include your name, contact information and a detailed description of your concern.
Acknowledgment. We will acknowledge your complaint within 5 business days.
Investigation. Your complaint with be investigated promptly. We aim to resolve complaints within 30 days and we may contact you for further information during this process.
Response. You will receive a written response outlining the finding of our investigation and any actions taken.
Escalation. If you are not satisfied with our response you may escalate the matter to the Privacy Commissioner. You can contact the Commissioner’s office at: privcom@privacy.bm Phone: 1-441-543-7748.
DATA BREACH
In the event of a data breach involving your personal information, PAB is committed to complying with PIPA and ensuring the protection of your personal data.
Definition of a Data Breach. A data breach refers to any incident leading to the loss, unauthorized access, or disclosure of personal information that may adversely affect you and any other adversely affected individuals.
Immediate action. Upon discovering a data breach, we will take immediate steps to contain and assess the breach.
Notification of the Privacy Commissioner. We will notify the Privacy Commissioner without undue delay detailing:

The nature of the breach

The likely consequences for affected individuals

Measures taken to address the breach and mitigate potential harm
Notification to affected individuals. If the breach is likely to cause significant harm, we will inform affected individual promptly, providing guidance on protective measures they may wish to take.
Record keeping. We maintain a record of all data breaches, including those that do not require notification under PIPA, to ensure compliance and facilitate future improvements to our data protection practices.
DATA RETENTION
We retain your personal data only for as long as necessary to fulfil the purposes outlined in this privacy notice and/or the PAB data protection policy, or as required by law.
CHANGES TO YOUR INFORMATION
Any changes to the personal data you provide to the PAB should be sent by email to the PAB Secretary, Sarah Fox (pabermuda@gmail.com) or sent by email to the PAB Data Privacy Officer (kim@pabermuda.com) as soon as possible to ensure your personal data is up to date.
REVIEW OF POLICY
We may update this privacy notice from time to time. Any changes will be posted on our website www.pabermuda.com with an updated effective date.
